City of Ottawa Special Events Committee met March 7

Here are the minutes provided by the committee:

Meeting called to order at 5:30 p.m. 

Present: Michael Dougherty, Lloyd Chapman, Lucas Hennenfent, Rich Crum, Dan Eilts, Wayne Eichelkraut, Alaina Iverson, Jani Eichelkraut, Candy Moore, Robin Wilson 

Absent: Courtney DeArcos, Jim Reilly, Abby Kennedy 

Funding requests: Multiple requests – some combined 

1. Spring Easter Egg Hunt: sponsored by Floret Events, 2 separate requests: discussion, location of event Jordan Block and Court Street, March 30th, motion to approve combined requests of total up to $1,000.00 for kids activities and fill eggs and free games and crafts for kids. Motion by Rich Crum, 2nd by Candy Moore: approved (volunteers needed to fill eggs - date n time to be announced) 

2. Midwest Morel Fest: sponsored by OVC (Donna Reynolds): location is at Jordan Block, May 4th, motion to approve $500.00 for music in the streets and $500.00 for port-o-pots and free mothers day craft for children. Motion made by Lucus Hennenfent, 2nd Jani Eichelkraut: approved 3. Third Friday: sponsored by Open Space Art Gallery & Studios, multiple dates: May 17, June 21, July 19, Aug 16, Sept 20 on Madison Street from 5 til 9, requesting total of $1,000.00 for art supplies for the 5 events which sees participants of 150 to 200 children. Motion to approve up to $1,000.00 by Rich Crum, 2nd by Dan Eilts. Motion passed. 

4. Starved Rock Country Marathon event is May 11th, Motion by Candy Moore 2nd by Rich Crum to approve up to $1,000.00 for port-o-pot only motion passed 

5. Wallace Memorial Event: May 18 & 19; organizers Wallace Dickey Cemetery Preservation Association: after discussion motion to authorizing $500.00 donation for NCAT bus service. Motion by Lloyd Chapman 2nd by Robin Wilson motion approved. 

6. Kites in Flight: May 18 & 19 on the Riverfront from 11:00 to 4:00 both days, sponsored by OVC. Discussion: motion to approve up to $1,000.00 by Jani Eichelkraut 2nd by Candy Moore. Passed. 

7. Community Outdoor Movie scheduled for May 17th on Riverfront starts at dusk. Request $900.00 for screen rental. Motion Candy Moore 2nd Dan Eilts. Passed. 

8. Barrels & Bites: June 1st sponsored by Floret Events, Motion to approve up to $1,000.00 for Music by Rich Crum 2nd Robin Wilson. Passed. 

9. Jordan Block Jams: July 19 at Jordan block, sponsored by city of Ottawa with Floret Events, Request for $175.00 to cover permit fees for city and state. Motion to approve Robin Wilson 2nd Jani Eichelkraut approved with 1 opposed Lucas Hennenfent. 

10. Touch a Truck: July 28 at Riverfront from 11am to 3pm, sponsored by OVC: motion by Candy Moore 2nd Robin for up to $1,000.00 free school supplies giveaway for kids. Approved. 

11. Smoketober Fest: Oct 11 & 12 on the Jordan Block, sponsor OVC requesting $500.00 for music in the streets n $1,000.00 for port-o-pots etc. after discussion motion to approve $500.00 for music and $500.00 for port-o-pots by Dan Eilts 2nd Robin Wilson. Passed. 

Minutes from January 4th meeting: Approved motion Michael Dougherty 2nd Candy Moore. 

Financial Report: approved with motion from Rich Crum 2nd Michael Dougherty. 

Discussion of note from Jim Reilly concerning Parade. 

Easter Break Movie for students in kindergarten thru 6th grade for Ottawa Elementary and Marquette Academy will be March 28, at Roxy Theater beginning at 10:00am flyers were sent to schools and distributed to children. 

SEC Music in the Park schedule of bands will be posted on SEC facebook page. 

Discussed need for signs (naming of Jordan Block formally, Ottawa sign, and MIP Music in Park signs) also discussed Food Vendors for MIP.
